August 2023. A client's outdoor product launch was 11 days away, and our rental house had just pulled their 5kW unit because of an unresolved fault code. I was the procurement person who got the call at 4:47 PM on a Friday.
"We need a Honda. Fast."
That's the moment I stopped being someone who ordered generators and became someone who learned about generators — mostly by making expensive mistakes I still wince about. Three of them, to be specific. All told, roughly $4,200 in wasted budget across two orders, plus a delay that got documented in the client's post-event review.

Mistake #2: The Extension Cord That Almost Took Down the Whole Setup
Two days before the event, we were short on outlet coverage. Someone on my team asked the question I now use as a litmus test for whether someone has actually done this work before:
"Can you plug an extension cord into a surge protector?"
I said yes. Quickly. Too quickly.
The setup was: Honda EU3000i → 25ft 12-gauge extension cord → surge protector power strip → four pieces of small AV equipment. It ran fine for about 40 minutes. Mistake #3: Ignoring the Small Parts Until They Stopped Us
This one's less dramatic but cost almost as much as the first two combined.
Three weeks after the event, the EU3000i started hard-starting. I ordered what I thought was the right plug — rz7c spark plug, because that's what I'd seen referenced for Honda small engines. It arrived, I installed it, and the unit ran worse.

Then the battery. This unit has an electric start, and the original battery was starting to drag. I bought a universal battery charger off a marketplace listing — "fits all 12V Honda generator batteries," it said. New battery: $160. Correct charger with proper float mode: $90. Downtime during a client site visit because the generator wouldn't turn over: the kind of thing you don't put a number on, but it's real.

When the propane-capable replacement unit emerged as an option, the freight quote came in $400 higher than ground shipping — guaranteed two-day delivery, signature required, insured. The cheaper route was "probably three to four business days, no guarantee."
I paid the $400.
The unit arrived with 31 hours to spare. The cheaper route would've arrived, optimistically, four hours before load-in — and if it hadn't, we'd have been renting whatever was on the local floor at any price.
I've stopped thinking of rush freight as "paying for speed." I'm paying for certainty. The gap between "probably on time" and "guaranteed by a tracked timestamp" is where projects die. A $400 premium against a $15,000 client event isn't a cost decision — it's a risk decision that happens to have a number attached.
What I won't do is tell you every rush fee is justified. If your buffer is three weeks, ground is fine. But when you're inside the window where a late delivery means a site with no power, the math changes completely.
My Pre-Order Checklist (After $4,200 in Tuition)
- Fuel type confirmed in writing. "Inverter" ≠ "propane." Get the dealer to state the fuel compatibility in the quote.
- Load math done before cord selection. Generator output amps ÷ your actual load. Cord gauge and length chosen from that number, not from what's in the warehouse.
- No consumer surge protectors on the generator side. Distribution boxes or properly-rated strips, plugged directly into generator outlets.
- Exact part numbers for consumables. RZ7C, battery maintainers, oil filters — pulled from the manual, not from a marketplace search.
- Rush freight budgeted upfront if the deadline is inside 10 days. Decide the premium before you're desperate, because desperate procurement pays more.
None of this is glamorous. It's the kind of stuff that only feels obvious after you've already made the mistake. I've got a binder of those mistakes now, and I hand it to every new person on our procurement team during their first week.
